Use the Donations Tab to View and Manage Your Donations

View your donation history and filter by status, type, page, and date. View your recently declined donations, recurring donations, upcoming donations, and expiring donations

Written by Maddy

The Donations tab lets you see a recent overview of your giving activity without pulling an export. You can view donations across all your pages, narrow the list to a specific page, or filter by status, giving you a lot of flexibility in how you review your data. This article covers how to use the Donations tab and how to view the details of a specific donation.

Pro Tip: If you need a complete history of your order history, we recommend running the Donations Report instead. The Donations tab is best for reviewing a specific donation or your recent activity at a glance.

View All Donations

Click Donations in the top menu bar to open the tab. By default, you'll see the Recent view, which lists the donations processed on your GivingFuel account.

Pro Tip: Use the search bar to find a specific donation. You can search by the billing name, billing email, donation ID, order number, and order reference.

Note: You can filter your donations by status, transaction type, page, or date to narrow your search. You can apply multiple filters at once.

You can also toggle on Only Show First-Time Donors to limit the list to first-time donations. This shows one-time donations and the first donation in a recurring donation, but hides every subsequent donation in that recurring donation. This toggle does not filter out donors who submit multiple one-time donations with the same billing email. All one-time donations will appear with this toggle.

Each donation in the list shows:

  • Name: Shows the billing name associated with the donation

  • Address: Appears directly under the donor's name and shows the billing address associated with the donation. For US addresses, you'll see the city and state. For international addresses, you'll see the city, region/province/state (if applicable), and country abbreviation

  • Amount: Shows the total transaction amount, including the donation and any merchandise or additional options

  • Payment Method: Shows whether the donation was paid by card, ACH, or offline

  • Page: Shows the page where the donation originated

  • Fund: Shows the fund the donation was applied to, if you're using the fund tracking or Search and Support features

  • Status: Shows the transaction status for the donation. Click here to learn more about the donation statuses available in GivingFuel

  • Date: Shows the date and time the transaction was initiated

  • Eye icon: Opens the donation so you can view its details

Note: If a donation is part of a recurring donation, a recurring icon appears next to the amount.

For example, when viewing the dashboard in July, recurring donations with cards expiring in July, August, and September of the current year will appear. Use this view to reach out to donors before a missed payment interrupts their giving.

Pro Tip: If you use Webconnex Payments, most expiring cards are updated automatically through our Auto Card Updater at no additional cost. If a donor receives a replacement card with the same card number but a new expiration date, Webconnex Payments updates the expiration date automatically so recurring donations continue without interruption. This feature is available exclusively with Webconnex Payments.

FAQs

Why don't I see the option to refund my ACH donations?

If you use a custom payment processor, ACH refunds cannot be processed directly through GivingFuel. You’ll need to issue the refund through your payment processor first, then update the donation status in GivingFuel to reflect the refund. Click here to learn more.

Pro Tip: If you use our in-house payment processor, Webconnex Payments, you can refund ACH donations directly through GivingFuel.
