How to pull a report of Donations, Recurring Donors, and Products Sold

If you would like to pull information about your donors or the donations you have received, the Exporter tool is a great way to gain this information!

Which Report Do I Need?

We recommend using different reports depending on your needs!

A Donations Report is recommended if you would like to pull a report that contains every donation that has processed through GivingFuel. The Donations Report will include every one-time and recurring donation. This report is recommended if you want to find data about any custom fields that were associated with the donation.

A Recurring Donation Report is recommended if you would like to see a summary of every recurring donor in GivingFuel.

A Payout Summary Report is recommended if you are using Webconnex Payments and would like to find a reconciliation report for your account.

An Original Donation Data Report is recommend if you would like to pull a report that contains every first-time donation that has processed through GivingFuel.

A Products Report is recommend if you would like to determine an order count for all of the merchandise you have sold through your GivingFuel page(s).

Donations Report

The Donations Report is a report that lists every donation that has processed through GivingFuel. This report includes all one-time donations, and all recurring donations. This report will also include any custom fields that your organization has added to your GivingFuel page. So if your organization would like to export data that has been entered into your custom fields, the Donations report is a great report to pull.

Donation ID Status Numbers

  • From the Pages tab, hover your mouse over the Reports tab in the top menu bar

  • Select Exporter from the dropdown

  • Select the Donations (Recommended) report

  • Search for your page name and select the page, or simply select it if you see it

  • Select the field(s) you would like to export and press the right arrow to move them to the box on the right to be exported. To move fields out of the export, select the left arrow button

  • To move fields to a new column on the report, select the field you want to move, and select the Up or Down arrows respectively

Pro Tip: To select multiple pages or fields at once, hold down the command or control button on your keyboard while making your selections. To select all pages or fields, hold the command or control button and the A button on your keyboard.

  • Select the Statuses you want to include. By default, the Donations report will include the Completed, Pending Offline, Gateway Error, Voided, and Declined statuses

  • Select the Transaction Type. By default, the Donations report includes All Transaction Types

  • Select a date range if desired. If these fields are blank, the report will pull all donations from the moment your page went live

  • Select the File Type and File Name

  • When ready, click the Download button

Recurring Donations Report

A Recurring Donation Report pulls data on all of your recurring donations. This report lists information about each of the recurring donations that are on your GivingFuel account, along with their recurring intervals and amounts.

  • From the Pages tab, hover your mouse over the Reports tab in the top menu bar

  • Select Exporter from the dropdown

  • Select the Recurring Donations report

  • Search for your page name and select the page, or simply select it if you see it

  • Select the field(s) you would like to export and press the right arrow to move them to the box on the right to be exported. To move fields out of the export, select the left arrow button

  • To move fields to a new column on the report, select the field you want to move, and select the Up or Down arrows respectively

Pro Tip: To select multiple pages or fields at once, hold down the command or control button on your keyboard while making your selections. To select all pages or fields, hold the command or control button and the A button on your keyboard.

  • Select the Statuses you want to include. By default, the Recurring Donations report will include the Active status

  • Select a date range if desired. If these fields are blank, the report will pull all donations from the moment your page went live

  • Select the File Type and File Name

  • When ready, click Download

Payout Summary Report

Note: This report is only available when using Webconnex Payments

The Payout Summary Report provides a reconciliation report for your accounting if using Webconnex Payments. This report shows a breakdown of your payout, including all fees for all of your donations.

  • From the Pages tab, hover your mouse over the Reports tab in the top menu bar

  • Select Exporter from the dropdown

  • Select the Payout Summary report

  • Search for your page name and select the page, or simply select it if you see it

  • Select a date range if desired. If these fields are blank, the report will pull all donations from the moment your page went live

  • Select the File Type and File Name

  • When ready, click the Download button

Products Report

This report includes an order count for each product and sizes that are sold on your GivingFuel page. This report provides a quick and streamlined report of what merchandise has sold on your page(s).

  • From the Pages tab, hover your mouse over the Reports tab in the top menu bar

  • Select Exporter from the dropdown

  • Select the Products report

  • Search for your page name and select the page, or simply select it if you see it

  • Select the field(s) you would like to export and press the right arrow to move them to the box on the right to be exported. To move fields out of the export, select the left arrow button

  • To move fields to a new column on the report, select the field you want to move, and select the Up or Down arrows respectively

  • Select the Statuses you want to include. By default, the Products Report includes the Completed and Canceled statuses

  • Select a date range if desired. If these fields are blank, the report will pull all donations from the moment your page went live

  • Select the File Type and File Name

  • When ready, click the Download button

Original Donation Data Report

An Original Donation Data Report provides information about any original donations. This includes any one-time donations, as well as the initial recurring donation that a donor submits. This report will not include any information about subsequent recurring donations. The Original Donation Data Report will also include any custom fields that your organization has added to your GivingFuel page.

  • From the Pages tab, hover your mouse over the Reports tab in the top menu bar

  • Select Exporter from the dropdown

  • Select the Original Donation Data report

  • Search for your page name and select the page, or simply select it if you see it

  • Select the field(s) you would like to export and press the right arrow to move them to the box on the right to be exported. To move fields out of the export, select the left arrow button

  • To move fields to a new column on the report, select the field you want to move, and select the Up or Down arrows respectively

Transactions Report

A Transaction Report contains a transaction history across all of your GivingFuel pages. We recommend using a Donations Report over a Donations Report.

  • Select the Transactions report

  • Search for your page name and select the page, or simply select it if you see it

  • Select the field(s) you would like to export and press the right arrow to move them to the box on the right to be exported. To move fields out of the export, select the left arrow button

  • To move fields to a new column on the report, select the field you want to move, and select the Up or Down arrows respectively

FAQs

What is the Difference Between a Donations Report and a Transactions Report?

We recommend using the Donations Report, as this report will pull in custom fields that your organization adds to your GivingFuel pages. The Transactions Report will not include this information. The Donations report is a more robust report.

Can I Download a Report from an Archived Page?

Users cannot download reports from any archived pages on the account. To download a report from an archived page, we recommend first restoring the page, and then downloading the report. To learn how to restore an archived page, click here.
