How to manually add an offline, credit card, or ACH donation into GivingFuel on behalf of your donors

Manual Entry is a great way for your organization to add donations on behalf of your donors quickly and efficiently. You can use Manual Entry to manually enter offline donations, credit card donations, and ACH donations on behalf of your donors.

Manually Add an Offline Donation

Pro Tip: When manually entering donations, GivingFuel will always display the offline option, even if this payment method isn't available on the live page.

  • From the top menu bar, click the Donations tab

  • Click the Add Donation button in the top right corner

  • Select the page for which you want to enter a new donation

  • If you are processing a donation for a past or current donor, search for the donor's name in the Contacts field. This will pre-fill any basic information in the designated fields

  • Complete any fields on your GivingFuel page

  • Enter the Billing Name (this information will be auto-filled if you added a contact)

  • Select Offline

  • Date Received (optional): enter the date in which you received the check. This can be a date in the past, or the current date. This field is optional

  • Mark as Received: check this box if you would like to mark the donation as received. When this box is checked, the system will mark the donation as complete after submitting the donation. If this box is not checked, the donation will be marked as pending offline, and a user can later mark the donation is received

  • Enter the Billing Address (this information will be auto-filled if you added a contact)

  • Enter the Email (this information will be auto-filled if you added a contact)

  • Mobile Phone Number: If a Mobile Number is required on your giving page, enter the mobile number, and choose whether to opt them to receive texts from your organization

  • Add a Note (if desired)

  • Click Submit

Warning: In GivingFuel, contacts are based on the billing email that is entered. We strongly recommend using a unique email for each separate contact for whom you add an offline donation. When multiple donations are added using the same billing email, they are grouped together in Contacts, and the Year-End Statement in GivingFuel will list all donations associated with that billing email.

If you are adding an offline donation to a contact who is already in the database, we recommend using the same email for the offline donation so all their donation is listed under the same contact.


Manually Add a Credit Card/ACH Donation

  • From the top menu bar, click the Donations tab

  • Click the Add Donation button in the top right corner

  • Select the page for which you want to enter a new donation

  • If you are processing a donation for a past or current donor, search for the donor's name in the Contacts field. This will pre-fill any basic information in the designated fields

  • Complete any fields on your GivingFuel page

  • Enter the Billing Name (this information will be auto-filled if you added a contact)

  • Select Credit Card or ACH (these options will only appear if they are available payment methods on your live page)

    • If you added a contact and the donor has a saved card on file, select the Use a Previously Saved Card checkbox if you would auto-populate a previously saved card

  • Enter the Credit Card or ACH information

  • Enter the Billing Address (this information will be auto-filled if you added a contact)

  • Enter the Email (this information will be auto-filled if you added a contact)

  • Mobile Phone Number: If a Mobile Number is required on your giving page, enter the mobile number, and choose whether to opt them to receive texts from your organization

  • Add a Note (if desired)

  • Click Submit

FAQs

Can I Auto-fill a Previously Saved ACH Payment Option?

At this time, users can only auto-fill credit card information. If a user would like to manually enter an ACH donation, we recommend asking the donor for their ACH bank information.

Why am I Required to Enter a Phone Number in the Billing Section?

Users are required to enter a phone number in the billing section on Manual Entry when the page has required this field. If you would like to temporarily disable this field, you can disable the phone number field in the GivingFuel page itself, and then enable the phone number field after you enter your offline donations. Here is how to disable the phone number field.

Note: By disabling the phone number field, donors will not be able to enter their phone number in the billing section and opt in to receive texts from your organization.

  • From the Pages screen in the top menu bar, click the pencil icon under the page you want to edit

  • Scroll down to the Billing Section

  • Hover over the Mobile Phone Number field, and click the pencil icon

  • Toggle the Enable button to No

  • Click Done

  • Click Save Now in the upper-right corner of your page to save your changes. Click Publish to publish these changes to your live page
