Create Year End Charitable Tax Statements

How to create and send year-end statements to your donors summarizing their donations to your organization for a given year.

If you are non-profit organization such as a 501c3, you are required to send out year-end contribution statements to donors summarizing their tax deductible contributions to you. These statements are used by donors to deduct these contributions from their income taxes.

GivingFuel makes it easy to send year-end statements to all donors for a given year, summarizing the the dates and amounts of all their donations.

Just a reminder, these year-end statements must be sent by January 31 each year!

Note: The Year-End Statement feature is only available for customers processing in USD.

Generate Year End Statements

Note: Year-end statements can be generated and sent starting January 7 of the new year.

  • From the top menu bar of your account, hover over the Extras tab

  • Select Send Year End Statements from the dropdown

  • Choose the year you'd like to generate and send statements for

  • Select Generate Statements

Note: In GivingFuel, year-end statements are generated using the donor’s giving data at the time the statements are created. Any gifts added afterward will not be automatically included in the statement.

To ensure statements are complete, we recommend generating year-end statements only after you’ve finished entering all offline donations for the previous tax year.

Pro Tip: To download year-end statements from before 2025, click the View Statements Before 2025 button in the top-right corner.

  • Enter your organization's details, including the organization name, EIN, organization address, and phone number. These will appear on your donor's year-end statements

  • Click Generate


Send Year-End Statements to All Donors

  • After generating your year end statements, click Send Year-End Statements in the top right corner

  • Set the Subject Line of the email

  • Enter the From Name. This is the name recipients will see as the sender of the email

  • Enter the From Email. This email address will receive any responses from recipients who reply to the email

  • Enter the Organization - This text will appear on your donors' year-end statements and indicate the organization they donated to

  • Enter an Address that will appear on donors' statements

  • Enter a Phone Number that will appear on donors' statements

  • Add the EIN for your organization that will appear on your donors' statements

  • Add the Message Body. This text will appear in the email sent to donors, below their yearly donation history

  • Click Review

  • Review the year end statement information

  • Click Send

Pro Tip: In GivingFuel, year-end statements are grouped by billing email. When sending year-end statements by email, each donor receives a year-end statement that includes all donations made using that same billing email address during the calendar year.

Each unique billing email receives its own year-end statement. If an individual donates using multiple billing email addresses, they will receive a separate year-end statement for each email used.

Note: Once all emails are sent, you’ll receive a confirmation email with a list of recipients who were sent year-end tax statements.


View, Send, and Download Individual Year-End Tax Statements

Note: At this time, year-end tax statements can only be downloaded individually. If you wish to mass distribute year-end tax statements, sending them via email would be your best option.

  • From the top menu bar of your account, hover over the Extras tab

  • Select Send Year End Statements from the dropdown

  • Select the Year

  • If you haven’t already, generate your year-end statements. Click here to learn how

  • After generating your statements, click the eye icon next to the donor you want to view

  • Click Send Statement to send or resend the year-end statement via email. Click Download Statement to download the statement as a PDF

Pro Tip: You can search for a donor by their name, email, or organization name.


FAQs

When do year-end statements become available?

Year-end statements for a calendar year are available on January 7 of the following year. For example, 2026 year-end statements can be generated on January 7, 2027.

Do year-end statements in GivingFuel include donations made on TicketSpice, RegFox, or RedPodium?

Year-end statements are generated separately for GivingFuel, TicketSpice, RegFox, and RedPodium. As a result, donations made through TicketSpice, RegFox, or RedPodium will each have their own year-end statement. If you collect donations across multiple products, we recommend generating and sending year-end statements for each product separately.

Are year-end statements available for international currencies?

Currently, year-end statements are only available for donations made in USD.

Are offline donations included in my year-end statements?

Offline donations that your organization has marked as received will be included in year-end statements.

Donations with a "pending offline payment" status will not be included in your statements. To ensure all applicable donations appear on year-end statements, we recommend marking any received offline donations as received before generating your statements.

What should I do if I receive a donation for the previous year after generating my year-end statements?

If you receive a donation for a previous calendar year after your year-end statements have been generated, please contact our Support team. They’ll be able to help you update your statements as needed.

Can I download all year-end statements as PDFs at once?

Right now, year-end statements can only be downloaded individually. There isn’t an option to download all statements as PDFs in bulk. You can either email all year-end statements to donors or download each statement one at a time.

Can I deselect specific donors from receiving a year-end statement when sending statements in bulk?

At this time, you can’t exclude specific donors when sending year-end statements by email in bulk. You can either send statements to all donors at once or send them individually.
